Access rights for employees

There are two ways give an employee access to the PMS. You can grant a (new) employee access at administration level, or at organization level. You can do this only if you have the proper manager rights yourself.

At administration level

Add an employee via Employees in the Administration settings. Click +New, and enter the employee's e-mail address. Check the boxes for the rights you want this employee to have. Once the employee has been added, he/she will receive an e-mail to create a password.
If this employee needs to have access to multiple administrations, an organization manager must set this up at organization level.

At organization level

To give an employee access rights for multiple administrations within your organization, you need to have organization rights yourself.
Go to the Employees overview in the organization settings. Click +New, and enter the employee's e-mail address. The access rights that you award at organization level, will apply for all underlying administrations. Below, it is also possible to assign different rights per administration.
When logging in, the employee can choose from the various administrations that they have access to.

Edit access rights or revoke all access

Go to the overview of employees in the administration or organization settings, and click any individual employee to edit their rights.

At administration level, you can only revoke all access of an employee if this employee has no rights at organizational level.
Deleting an employee entirely is only possible at organization level.

What are the different access rights?

There are 11 different access rights that an employee can have. Click on the linked articles to see exactly which actions are included in a certain access right.

Default

Default rights can be viewed as the most basic access to the PMS. This includes actions commonly used by receptionists. Every employee has these rights by default.

Support

By granting this right, you ensure the employee can be contacted by visitors on your website who need help with their booking. This is only possible if you use BEX CMS for your website. If 'Support' is checked, additional settings will appear at the bottom of the screen.

This is an extension of the default access rights, and is commonly used by reception managers.

Setup

This access right is for employees who manage the administration daily and includes many actions in the Setup module and Administration settings. If an employee has setup rights on the organizational level, this permission includes additional actions that apply to the entire organization.

This is an extension of the 'Setup' access right, and includes actions that impact revenue and priority settings for objects. It is often used by senior managers.

Owners

The employee access rights for owner management are aimed at staff who specifically handle the management of owners, commission agreements, and settlements.

The access rights for financial management are aimed at employees who specifically handle the financial administration and invoice processing.

This is an extension of the 'Financial' access right, and provides access to reports and the ability to make changes in bulk and to edit past invoices.

These access rights provide access to the 'Statistics' module, encompassing possibilities for viewing and creating statistics, overviews, and reports.

IT management

This right can only be awarded to an employee at organization level. It provides access to domains and all related settings for all underlying administrations. It also allows for the installation and management of integration apps.

Manager

Manager rights allow an employee to manage other employee’s access rights. If set at administration level, this is limited to the employees of that administration. If set at the organization level, it applies to all employees.
Someone with manager rights must also have all other available access rights, with the exception of 'Support'.
