Taking over an owner's role

You can take over an owner's role to see exactly what the owner portal, their personal page, looks like. If an owner has any questions, you can easily take a look yourself.

Find the owner whose role you want to take over. You can do this via the Owners module or search for the owner via the search bar at the top right of your PMS.

On the owner page, you scroll to the ‘Access to owner portal’ block, and click the three dots behind the correct contact’s name. Choose ‘Take over role’. You are now logged in as the owner and can see exactly what this owner can see.

The yellow arrows in front of your profile photo indicate that you have taken over someone else's role. To put down the role you have taken over, open your profile dropdown and click ‘Relinquish taken over role’.

If you want to take over a role and you receive a notification saying that you don’t have the authority to see the owner portal, it means that the owner does not have an owner’s portal yet. The owner must first accept the invitation and create an account.

Which data an owner can see in their owner portal depends on the permissions they have been granted in their agreement under owner profile. Some of the more common functionalities are listed here:

Reception messages

Owners can send and receive reception messages in their owner portal.

Documents

Owners can access relevant documents in their owner portal, under 'Info'.

Updates about reservations

Owners can choose to receive notifications when their objects are booked and reviewed. To activate those notifications, they need to check the box 'Updates about reservations' under 'Info'.
