Export and print guest address labels

Usually, guests want to receive their confirmation and invoice via e-mail. But if they prefer to receive these details by regular mail, you'll want to print the address labels accurately and neatly.

Exporting the address data from BEX PMS

Do you want to export the address of a single guest?

Go to the guest card, click on the three dots at the top right, and choose 'Personal data'. Then click the 'Export' button behind “Contact Information.” You'll get a pop-up window where you can specify language and file formatting, then click the green “Export” button. The CSV file will be sent to the email address associated with the PMS account you are using.

Want to export the addresses of multiple guests?

Go to the 'Reservations' tab and use the filters to display the appropriate reservations/guests. Then click the 'Export' button at the bottom of the list, and choose 'Contact Info'. You'll get a pop-up window where you can specify language and file formatting, then click the green 'Export' button. The CSV file will be sent to the email address associated with the PMS account you are using.

Importing the address data into your labeling software.

For the procedure below, we assume you are working with a DYMO LabelWriter.

Creating labels in DYMO Label

Choose the right size label, insert an address box, and make sure the address box does not exceed the dimensions of the label.

Next, we're going to import the file we just created into DYMO Label.

  1. Go to file > import and print data > new, and click 'Next'.

  2. Browse to the appropriate CSV file, and click 'Next'.

  3. Check the 'Use first row as field names' checkbox.

  4. Then you can adjust the formatting to your liking, and when you're done click 'Next' again.

  5. Select the rows of data (guests) you want to print, and then choose the 'Print' button.
