User management in todo module

Add and manage both executors and contractors for the todo module, and take over their role if needed.

Go go 'User management' in the todo module. In two tabs, you’ll see all contractors and executors that make use of the todo module.

Adding an executor

  1. Click the 'New executor' button.

  2. Enter the email address, which they can use to create an account and log in.

If the executor only needs access to the Todo app, they do not need to be added as a backoffice employee in PMS. Read more: Executors and Todo

Adding a contractor

  1. Click the 'New contractor' button.

  2. Enter their name and the administrator’s email address, which they can use to log in.

  3. Set their status to 'active' to allow their login.

  4. Enter the appropriate contact information. These details are optional.

  5. If the contractor is only allowed to work on/near limited objects or facilities, select those specific objects and/or facilities.

A contractor whose allowed objects or facilities are limited here, cannot see any todos for other objects or facilities. Even if those todos are in the same todo list that the contractor has been added to.

  1. Define the access level to data of reservations related to the contractor’s todos.

  • Can view reservations: Booking number, stay dates, booked object, number of guests, and reviews.

  • Can view guest list: Name and date of birth of guests.

  • Can view reservation contact info: Phone and email address of booker. Also allows you to share the contractor’s contact details with guests using email variables in auto emails.

  • Can view order: Cost items and prices in the reservation order.

  • Notifications of new or cancelled reservations via email: Actively let the contractor know about new or cancelled todos related to reservations.

Editing contractor rights

Edit any existing contractor to change any of the data set while adding them. Specifically disable the 'Active' checkbox to block all access for the account associated with this contractor’s user email address.

Taking over a role

As a todo manager or todo list follower, you may need to imitate an executor or contractor to doublecheck the information available to them, or do something in their name.

  • Executor role: From the user management overview, click the three dots behind the relevant executor and select 'Take over role'.

  • Contractor role: From the user management overview, click the name of the relevant contractor. Click the three dots behind the contractor’s administrator whose role you want to take over; select 'Take over role'.

If you receive a notification saying that you don’t have the authority to take over the role, this means that the user you are trying to imitate does not have an active account yet. They must first accept the invitation and create an account.

Going back to your own account

To put down the role you have taken over, open your profile dropdown and click ‘Relinquish taken over role’.
