Starting with Booking Experts

Welcome to Booking Experts! Here you can find an overview of what happens next and how to start with your BEX PMS.

Before the kick-off

After signing your agreement, our Customer Success team will plan a kick-off meeting with you. You will receive an email with all the necessary information and you can already prepare the following steps.

Assign an internal BEX specialist

We advise you to make one person in your organization responsible for handling all things Booking Experts related. They can be our contact person and the one going through the onboarding process, parts of which are outlined below. That way the chance of mistakes decreases and information can be shared centrally with all other employees.

Gather information to import into your BEX PMS

Preparation can save you a lot of time when switching to Booking Experts. That is why collecting the necessary information in advance is important. We often see that a new user has been using the same reservation system for years, meaning that a lot of information has been added while existing settings and information were no longer updated. Now is the time to be critical about what you want to take with you. After all, is possible to import a lot of essential data like reservations from your old system. Consider the following examples:

Pricing policy

Do you still have a pricing policy without a clear structure? Update it now. Determine, for example, the Bungalow 4 persons as your basic price list, the Bungalow 2 persons is 30% cheaper and the Bungalow 6 persons is 30% more expensive. Do you make price changes during the year? Then you only need to do that for one type and all other types will be automatically updated. Read more about price lists here.

Packages

We see a lot of packages, especially for campsites, that oblige the guest to stay during an entire holiday period like Easter. This is not necessary in in your new PMS as you simply set this in the price list. A package in the BEX PMS is used for promotion if you provide an extra with the reservation, like free bike rental or a BBQ package. Read more about packages here.

Up-to-date information

Look critically at your website texts and the descriptions of your types. Is the information still current? Is it coherent? And do you provide the information that a guest actually wants and needs?

Help Center

After the kick-off

After your kick-off meeting, you will receive access to your BEX PMS as well as your CMS, if you are also using that.

Log in to your BEX PMS

Log in to your account via this page and fill in your email address and password. We recommend setting up multi-factor authentication so that your BEX systems are protected. Do you have a Google account with the same email address that you use for Booking Experts? Then you can log in with Google (Single sign-on), so that you can get started even faster. Also remember to protect that Google account well, for example via multi-factor authentication.

Checklist

We have developed an onboarding checklist that contains all the steps to be completed before your administration goes live. You find this checklist in the dark green menubar in the right corner of your PMS.

Depending on your organization, some tasks are postponed or hidden. You don’t work with owners? We’ll make sure that this task isn't on your checklist.

For each topic, the specific tasks are listed and you can click on them to see what they entail. You can also see whether a task has to be done by you or us; our tasks have a shield icon behind them. We monitor the whole process in the background.

If you want to assign certain tasks to your colleagues, you can do so by clicking on the individual task or the group of tasks and assign the responsible colleague on the right hand side.

Academy

We know that a lot of information is coming at you. That is why we bundled the information into our Booking Experts Academies. The Academy consists of online courses about the basics and different modules in the BEX PMS and you can find it here.
