Importing bank transactions

Importing bank transactions helps you match manual transfers of money into your account to bookings or invoices in BEX PMS. This is especially useful if you regularly receive payments through manual transfer instead of via a payment link.

Go to 'Bank transactions', in the Payments section of the Financial module.

  1. Click the 'Import bank transactions' button at the bottom of the overview.

  2. Upload the file that you exported from your banking environment earlier; this file should have a CAMT.053-format.

Be careful that the file you exported from your banking environment does not overlap with a previous export. If the same transaction is listed in two bank transaction imports, you run the risk of adding the same payment twice to the same invoice.

  1. The transactions will be shown in the overview, along with suggested matches. These matches are based on the name or reference (booking number or invoice number) included in the transaction.

  2. Click the ellipsis button behind one of the payment lines.

    • Select 'New payment' to register the payment on the suggested invoice.

    • Select 'Link existing payment' if the payment was already manually registered on the invoice.

    • If the payment covers more than one invoice, you can link multiple invoices.

  3. Any irrelevant bank transactions in your file can be safely ignored.

Note that the amounts of the imported bank transactions do not affect any accounting reports or the trial balance until after they have been linked to an actual invoice or booking.

This is because your import may contain irrelevant transactions, and not linking incoming payments to invoices would cause issues in your accounting down the line.
