Importing and exporting prices

Go to the price lists index in the Setup module, and open the price list where you want to start exporting or importing prices. If necessary, create a price list to fill it with prices via an import. Read more: Getting started with price lists

Importing prices into an empty price list

1. Open the relevant price list, and go to the 'Prices' tab.

2. Click the 'Import' button. This will open a pop-up.

3. Download the CSV example file in UTF-8 format, using either the European or UK/US data entry style.

4. This example file shows you exactly which data (column headers) can be imported, and how that data should be represented in the rows to be read properly.

   Date: enter the date the price should be applied.
   Length of stay: enter the number of nights for which the price is valid.
   Active: enter a 1 if the price should be active and a 0 if the price should be inactive.
   Price: enter the price. If the length of stay is multiple nights, enter the total price for those nights, not the price for a single night.

5. Either copy your dates and prices into this file, or edit your own UTF-8 format export file from your previous pricing system to match the import requirements.

   Do not set prices to 0 (zero) when trying to make dates unavailable for booking. This will result in the types/objects being available for free. Instead, use Restrictions to (temporarily) block availability. Read more: Closed to stay restrictions

6. Upload your finished file after again clicking the 'import' button in the price list.

   The 'Ignore unknown columns' setting should be used if your file contains columns that you know cannot be recognized and imported into BEX PMS because they do not match the import requirements.

Exporting a price list from your PMS

Exporting prices can be useful if you want to modify an existing price list or share it with another party.

1. Open the relevant price list, and go to the 'Prices' tab.

2. Click the 'Export' button, and the file will be sent to the email address associated with your user account.

3. If you are exporting the file for the purpose of editing and re-importing, use the 'import' button in the price list to re-upload it.

   IMPORTANT: Be sure that you do not remove any dates/prices of the current year in the CSV file that you are editing. Prices will be overwritten when re-importing, meaning that if current dates are no longer present in your import file, they will not have a price anymore, and the types connected to the price list will not be bookable.
