Managing todos from the overview

To quickly manage todos, you can select multiple todos in the overview to assign them, mark them as completed or checked, or invoice them.

Go to the todos overview. In the tabs, you’ll quickly see how many todos are still 'To do', 'To be checked', or 'To be invoiced'.

In the 'Todo' tab

This is where all todo’s are listed that have not yet been completed by an executor. This includes the todos that have been started and paused by the assigned executor.

In the overview, the colored labels let you know whether the todo:

  • is for an object that is currently occupied,

  • is blocking for the check-in of the next reservation,

  • is for a reservation that has pets,

  • has a memo attached,

  • is part of a changeover shift (guests leaving and others arriving on the same date).

  • Use the search field and available filters to find relevant todos

  • Open an individual todo to edit any of its details, or

  • Use the checkboxes to select one or more todos

  • For the todos you selected:

    • Click 'Assign' to assign the todos to an executor that has access to the relevant todo list.

    • Click 'Finish' to mark the todos as completed. If they need to be checked, they’ll move to that tab instead.

    • Click 'Delete' to remove todos that were created in error.

Most todos will be marked as completed by the executor who performed the todo.

In the 'To be checked' tab

This is where all todos are listed that need to be checked by a backoffice employee, usually because there may be costs involved, or for quality control purposes.

  • Use the search field and available filters to find relevant todos

  • Open the individual todo to check and/or edit any hours, material costs, or images added by the executor.

  • Use the checkboxes to select one or more todos

  • For the todos you selected: click the 'Check' button to mark them as checked.

If no further action is required, the todo will move to the 'Completed' tab. If the todo contains costs that need to be invoiced, it will move to the 'To be invoiced' tab.

In the 'To be invoiced' tab

This is where a final check of the todos that contain costs can be performed.

  • Use the search field and available filters to find relevant todos

  • Open the individual todo to check and/or edit any hours or material costs

  • Use the checkboxes to select one or more todos

  • For the todos you selected:

    • Click the 'Invoice' button to create a concept invoice for the todo

    • Click the 'Ignore' button to remove the todo from this tab without invoicing.

Adding hours or material costs as an employee

  1. Go to the todos module, and open the correct todo. Use the available filters if needed.

  2. Click 'Add' at 'Costs'.

  3. In the pop-up, indicate whether you are adding hours worked, or material costs made.

  4. If adding an hourly cost: Enter the hours and minutes worked. The date can also be adjusted. The wage is predetermined, and can only be changed by editing todo costs and/or todo list settings.

  5. If adding material cost: Select the correct cost item from a drop-down menu. Enter the quantity, and optionally a description. If needed, you can also set a custom price.

  6. Click 'Save'. Repeat to add another cost item.

The hours/minutes registered in a todo always refer to the time the executor has spent on the work, even if the hours are entered by someone else.
