Guests' right to anonymization of personal data

According to the General Data Protection Regulation (GDPR), a guest has the right to have his/her data deleted. This is also referred to as the right to oblivion. If a guest requests the deletion of the data you have processed about them, you can make sure this data is anonymized. Deleting all information entirely is not possible due to the need to retain accounting data.

Anonymizing the personal data of a booker

You need organizational rights to be able to anonymize data. Find the relevant booker in your Contacts module, and click the name to open the page. In the top right, click 'View on organization level', and then choose 'Personal data' in the ellipsis menu. Here, you can use the button 'Anonymize' to make sure this contact is anonymized.

Reservations and invoices must legally be retained for 7 years after they were created. That means these will still exist, but the booker contact will be disconnected from them and the e-mail address will be deleted.

Enabling automatic anonymization

It is possible to automatically anonymize guest data after a certain number of years.
To do so, go to 'Other' in the organization settings. At the bottom of the screen, tick 'Enable automatic anonymizing' and then enter after how many years booker data should be automatically anonymized.
