Creating types

Types usually contain multiple objects that are very similar or identical. The type settings apply to all underlying objects.

Creating a new type

Go to the 'types' menu, and click the blue '+New' button. You’ll see a form that needs to be filled out to create a type. If a field is marked 'Optional', you can leave it blank if you want to.

Select the proper segment, which you have probably already discussed with your BEX Onboarding specialist. If you want this segment to be used as a filter and subtype on your BEX CMS website, check the box.
Enter the title of the type, this is the name that will be visible both in the PMS and on websites.

The short description will be visible on the website and it gets cut off when using more than 150 characters. Therefore, we recommend that you describe the distinctive factors and amenities of the type in less than 150 characters.

In the long description, you can then elaborate further. This text is shown on the type page on your website. If you want to further promote this type, you can choose to highlight it in your Search & Book results at any time.

We recommend that you use the description to both provide necessary information and entice the guest to book.

Type amenities

Earlier in the onboarding process, you set up your amenity groups and amenities. The ones that apply to this type, can now be added.
The tabs are the various amenity groups, and when you click them, the amenities within that group will be shown. Check the ones that are available for the objects in this type.

Note that you should only add amenities that apply to all objects within this type. Otherwise, it is better to add the amenity to individual objects instead.

House rules

The house rules section sets limitations and conditions for booking the type.

Set the maximum amount of occupants this type can have. Initially, you need to enter the total maximum number and apply it to all age groups that use a full bed (seniors, adults, teenagers, and children). If desired, you can add another line to make more specifications, like a maximum number of pets.

In addition to custom check-in and check-out times, you can choose to set a late check-out. Set the deviating check-out time, and check the box to allow guests to book this as an extra, either during the original booking or later via the guest portal. If you do not check this box, only your employees can add a late check-out to a reservation.

The settings for late check-out apply only to your own channels, i.e. your own website.

Select the appropriate terms and conditions from the list. If the option you want is not available, make sure these terms and conditions have been added.

Any text entered in the 'attachment text for emails' field can be added to auto emails or templates about reservations for this type by using the 'Attachment text HTML' tag.

Availability

It is mandatory to select an arrival and departure scheme.

You can set a higher minimum number of nights if you want to block guests from booking only one or two nights. Accepting same day bookings means that you will confirm new reservations that will arrive that same day. You can set a deadline for this, if you want to avoid people booking and arriving late in the day.

The settings for same-day bookings apply only to your own channels, i.e. your own website.

Additional settings

In the additional settings, you can add any IDs or registration numbers you use for this type in other systems. Here you can also add a deviating address, if the type address is different from the administration address.

Invoicing & accounting

Select a ledger account to book the incoming rent onto. Optionally, enter invoicing details and instructions in the text field. These invoicing details are especially convenient if you also intend to check 'Do not invoice the rent' to manage payments outside of the PMS.
Enable the settlement of meter readings with your guests only if you actually use the meter readings module of the PMS.
