DATEV: installation & settings
The DATEV integration app automatically synchronizes your bookings and journal transactions from Booking Experts into exports for seamless financial record management with your DATEV accounting software.

How to install the app?
Go to the 'Available apps' index, and use the search bar to find the DATEV app. Click the 'Install app' button.

Please note that while this integration generates a synchronized export file specified to DATEV’s requirements, this file must be manually imported into DATEV by you or your accountant.
Complete the settings
What you'll do:
Open the DATEV app from your overview of installed apps.
Select 'Configurations' from the Commands dropdown.
Click "+ Configuration" to create a new accounting connection.
Complete the configuration form for each of your BEX administrations:
Administration: Select which administration this accounting configuration applies to
Consultant number: Enter your DATEV consultant number
Client number: Enter your DATEV client number
Start of fiscal year: Set when your fiscal year begins
GL account number length: Specify the length of general ledger account numbers in your DATEV system
Frequency: Choose how often to sync transactions (daily, monthly)
Start date: Define the date from which to begin syncing
End date: Define the end date for transaction syncing (optional)
Automatic sync: Enable to perform automatic synchronization based on the settings above
Automatic closure of accounting periods: Enable to automatically prevent changes to PMS accounting data after synchronization
Sync delay: Set the number of days to delay synchronization, a buffer period to ensure all relevant transactions are logged.
Click "create configuration".
Important Information:
Each BEX administration has its own DATEV accounting configuration
Consultant and client numbers are specific to your DATEV account
The GL account number length must match your DATEV setup
Automatic closure of accounting periods simplifies month/year-end processes
Sync delay helps ensure all transactions are complete before syncing
What happens after: Your DATEV configuration is created and ready to begin synchronizing accounting journal transactions.
Daily operation
1. Managing DATEV configurations
What you'll do:
Open the DATEV app from your overview of installed apps.
Select 'Configurations' from the Commands dropdown.
For each configuration, you can see:
Name
Active/Inactive status
Automatic sync status (enabled or disabled)
To edit a configuration, click the menu button (•••) on the right and select 'Edit'.
To activate/deactivate or view details, click the name.
Important Information:
Only active configurations will sync transactions
Inactive configurations are preserved for historical reference
Deactivation is useful for temporarily pausing sync or while editing configurations
What happens after: You can navigate through all your DATEV accounting configurations and manage their status and settings.
2. Manually synchronize transactions
What you'll do:
From the Configurations list, open an active configuration
On the configuration detail page, click the "Synchronize" button (green button)
The system begins synchronizing journal transactions
You will see a confirmation message: "Synchronization started successfully"
The system processes all new or updated transactions based on the date range and sync settings
Important Information:
Synchronization can be triggered manually regardless of automatic sync settings
The system displays the number of synchronizations currently made
View details by clicking "View" on the configuration page
Synchronization respects the configured delay period (default: 7 days after transaction date)
Automatic period closure is triggered during synchronization if enabled
Errors during synchronization are displayed with details for troubleshooting
What happens after: All new and updated transactions are ready for export.
3. Review journal transactions for export
What you'll do:
From the Configurations list, open an active configuration
Click "View" to access journal transactions by synchronization date range
View details by clicking on the start date
A synchronization typically includes:
All bookings within the configured date range
Journal entries for the period
VAT transactions if applicable
Revenue and expense entries
Click the 'Export' button at the top right to receive all information in CSV format.
Important Information:
Journal transactions represent all financial entries to be sent to DATEV
Transaction history is maintained for audit and reference purposes
Transactions can be reviewed to verify accuracy before final confirmation
What happens after: Transaction details confirm accurate mapping to DATEV accounts, and the export can be used to import into DATEV.
