Creating periodic costs

To charge an owner for recurring costs, like service fees or garden maintenance, you create a periodic cost and add it to the owner agreement or profile. The same periodic cost item can be applied to multiple owners.

In the Owners module, go to periodic costs. Click the '+New' button to add a new cost.

  • The description is the name of the cost item, which is shown on the relevant invoices.

  • Utility advance: Enable if you want to use this cost item to charge owners for utility use in advance, and then offset the actual costs (based on meter readings) against this advance later. Read more: Utility advance invoicing

  • Frequency: Determines the interval at which you charge this periodic cost. A one-off is also possible.

    • When choosing quarterly or monthly, you can deselect certain quarters or months if you want to incorporate a seasonal break.

    • The subsequent invoicing dates will depend on the start date of the owner agreement, or the date of the first invoice.

    • Select 'annually with a fixed settlement date' to predetermine the invoicing date for this periodic cost.

  • Pricing model: Select how the prices are to be calculated and applied. With all three options, you can add another set of prices with an 'active from' date in the future to process price fluctuations.

    • The base price is a flat fee.

    • Select 'Per type' to differentiate the price per object type. Use the default price to quickly fill all fields, then only enter a deviating price for your deviating types.

    • Select 'Per m2' to enter a price per square meter. The final price is calculated based on the surface area of the relevant owner’s object. Be sure to enter this information in either the object or type settings.

Note that the chosen frequency/interval needs to be taken into account when entering prices.

  • Ledger account: Select the appropriate ledger account this cost should be registered on.

  • Save your new periodic cost.
