Cost item calculation based on guest or pet count

Set free guest thresholds or maximum limits to automatically adjust cost items based on guest group size. This allows you to charge for extra guests, cap pet fees, or build tiered pricing structures without manual adjustments.

These settings are only available for cost items that have a calculation method that is 'per pet', 'per pet per day', 'per person', or 'per person per day'.

Available settings

When configuring a cost item, you can use these two settings to control how the total count is calculated:

Set a free threshold for guests

Enter the number of people or pets that you want to exclude from the calculation. Use this setting to start charging only after a specific guest group size is reached.
Example: To create a cost for additionally placed beds in a 6 person type, enter '6' here. The cost item will be applied for any person above the standard 6-person occupancy.

Set a maximum guest count for pricing

Enter the maximum number of people or pets for which this cost item can be applied.
Example: To create a cost per pet that does not become disproportionately high if a guest wants to bring a lot of pets, set a maximum number to be counted, for example '3'.

Applying both settings means that the maximum guest count is applied on top of the free threshold, these numbers do not overlap. Take this into account when setting up a tiered cost.

Setting up tiered costs

By combining free thresholds and maximum limits across multiple cost items, you can create a tiered pricing structure that is correctly applied according to guest group size — without double charging.

  • You need to create one cost item per tier. These cost items can be combined using an invoice rule later.

  • The lowest tier does not have a free guest threshold. The highest tier does not have a maximum guest count.

  • Any tier in between has both a free guest threshold and a maximum guest count.

  • The maximum guest count is the number guests above the free threshold that are included in this tier.

According to the example above, a guest group of 10 guests would be charged a total of €84.

4 × €10 = €40 (first 4 guests)
4 × €8 = €32 (guests 5 - 8)
2 × €6 = €12 (guests 9 and 10)

To ensure this total of €84 is shown together on a single invoice line, use an invoice rule to group all cost items that are part of the same tier structure.
