Creating a pool

When creating the pool itself, there are limited settings available regarding the handling of owner reservations and cost items. Other pool system settings are determined in the pool commission agreement.

Go to 'Pools' in the Owners module. Create a new pool or edit an existing one.

You do not add objects to a pool directly.
- A pool will be linked to a pool commission agreement.
- This commission agreement is applied to multiple owner agreements and their associated objects.

- These objects then become part of the pool.

Point calculation

The objects in the pool will gather points. You can subtract points for dates on which the object was not available to be rented out, due to a blocked period or a stay by the owners themselves.

  • Subtract points for blocked periods: apply to all blocked periods, or only to specific kinds of blocks. With the latter option, you can select any that have been entered under 'Out of order types' in your organization settings.

    • Take into account that some types of blocked periods can be added by owners themselves, if their owner profile contains that right.

  • Subtract points for owner reservations: points will be deducted for all owner reservations. However, you can add specifications.

    • Not subtracting points for last-minutes: no points will deducted if an owner books X days before arrival, when the chance of getting a regular booking for those dates is low.

    • Limited free nights for last-minutes: if an owner books a 'free' stay under the last-minute condition, you can specify a maximum number of free nights, to avoid owners staying for free into future dates that still could have been sold as a regular booking.

Payout to owner

It may be that owners still have to pay a rent amount when staying at their own object with a discount, instead of with pool points.

  • Enable 'Pay owner reservations in full to the owner' to ensure that this money is settled with that specific owner, instead becoming part of the revenue to be shared in the pool.

Whether owners pay for their own stays with a 100% discount, partial discount, or with pool points, is determined for each owner separately, in their owner agreement.

Settling cost items in the pool

The (partial) income from any reservation cost items added here will be added to the total revenue to be shared in the pool.

To distribute the (partial) income from reservation cost items directly to the owner of the object instead, add the cost items to the pool commission agreement, not the pool itself.
