Todo portal: Executor login

As an executor, you do the actual work for which a todo has been created. In the Todo portal, you can see the todos that are assigned to you or that are on your team's todo list. Start them, manage them, add details, and complete them to cross the todo's off your list.

  • As an executor, you do not need general access to the Booking Experts PMS.

  • A backoffice employee must add your email address to a todo list team as an executor, and you must accept the invitation in your email inbox and create an account.

  • This account is how you log in and access the Todo portal.

  • Add your phone number to your profile if you need to be able to receive text messages about urgent todos.

Finding a todo

  • When you’re logged in, you immediately see the todos that are assigned to you.

  • The todos are listed as cards with relevant information displayed.

  • Use the filters at the top to easily prioritize all your todos. Examples:

    • Check if there are any urgent todos (activate the 'urgent' filter)

    • Check if any todos need to be done before check-in time (activate the 'changeover' filter)

    • Check which todos are on your list for tomorrow (set the 'Date' filter to tomorrow’s date)

  • Use multiple filters or the search bar to find specific todos.

  • Click a todo card to open the todo.

Performing a todo

  • Open the todo that you are about to start work on.

  • Click the green 'Start' button at the bottom of the page. This also starts a timer that helps you record how much time you need.

  • When you are done, or if you just want to pause the work to do something else, click the 'Stop' button.

  • Indicate whether you are done or just want to pause.

  • If needed, register the time that you just worked. The time is based on the timer that you started, but can be changed still.

  • If needed, add any material costs by selecting the type of material and how many items you used or replaced. You can add more than one type of material cost.

  • If desired, you can add remarks to let the backoffice employees know about material costs made but not available in the list, or any other information relevant to the todo you just performed.

  • Click 'Register'. If you have finished the todo, it will disappear from your list. If you have paused the todo, the todo will still be visible, with a 'Paused' status. You can continue paused todos at any time.

Adding a new todo

During your work, you may come across things that need to be done, but that you do not have the time or skills for. In such cases, you can create a new todo for yourself, for your team, or for another team.

  1. The blue '+Todo' button is the general button to create a new todo. Use this if the work to be done is not related to a facility or object.

    • At 'Todo list', select which team should perform this todo.

    • Assign a specific executor if needed. You can also assign yourself, or leave it empty to be assigned later.

    • Enter the title and description to let others know what needs to be done.

    • By default, the todo will have today’s date. Enter another date in the future if you know this work can wait until then.

    • Tick the 'urgent' box if you know the work should be done as soon as possible.

  2. Use the '+Object todo' button to create a new todo linked to an object, which is any of the pitches or homes that guests can book.

    • First, look up and select the object that you need. Then, click 'Continue'.

    • The other information to be entered is the same as for a general todo (1).

  3. Use the '+Facility todo' button to create a new todo linked to a facility, which are any of the shared buildings in your facility list.

    • First, look up and select the facility that you need. Then, click 'Continue'.

    • The other information to be entered is the same as for a general todo (1).
