Getting started with price lists

In BEX PMS, price lists are the foundation of your administration. They act as the brain behind your rates and availability, determining exactly what a guest pays for a stay.

What is a price list?

A price list serves as the central price generator for your types. It is a collection of rules and rates that indicate how much an overnight stay costs for any chosen date or date range. It links prices to accommodation types and ensures the correct rent total is charged to the guest based on the arrival date and duration of the stay.

The price list overview displays your master price lists, connected types currently using that price list, and a visual chart showing your future price trends.

Using a master price list with factors

You do not need to manage individual price lists for every accommodation type. Instead, you can use a master price list to control multiple types simultaneously, using factors. When you update your master price list, BEX PMS automatically recalculates and updates the prices for all connected types.

  • Multiplication factor: Automatically adjust rates by a percentage.

    • a "6-person bungalow" is always 1.5 times the price of a "4-person bungalow"

  • Fixed offset: Add or subtract a set amount per day.

    • + €5.00 for a type with outdoor hottub

Using simple prices for OTA channels

Some OTA (Online Travel Agency) partners require 'simple prices' instead of regular dynamic pricing. This is typically necessary for integrations that cannot process variable rates and require a single, fixed value per date.

The simple prices tab of a price list is hidden by default. It only appears if you have at least one channel with the "Uses simple prices" setting enabled in the channel settings. Once activated, you will find the simple prices tab next to the regular prices tab within your price list.

  • Simple prices represent a static value for a specific date.

  • Pricing rules cannot be applied to simple prices.

  • Prices entered here will only be sent to channels that specifically require simple prices.

Managing online availability of prices

Prices in a price list can be toggled between active and inactive. This allows you to configure your rates privately before making them bookable for guests. Dates with inactive prices are blocked across all channels as well as your own website. Once activated, the price list goes live immediately. Guests can then view rates and complete bookings. You can manage availability using two methods depending on the scale of the change:

Individual dates

Use the blue checkboxes within your price list to activate or deactivate specific dates. Note that this action must be performed for each price entry individually; you also use this deactivation to control deviating prices for specific dates.

Date ranges

To block longer periods, regardless of the activation or deactivation status of the checkboxes mentioned above, use an arrival and departure scheme. By marking a date range as unavailable for both check-in and check-out with the arrival and departure generator, you effectively close those dates for all bookings.

  • For this block to work, the types connected to your price list must also be connected to the arrival and departure scheme you are using.

  • Remember to update the available check-in and check-out dates in the arrival and departure scheme when you are ready for your prices to go live.

Price management via RMS partners

You can automate your pricing strategy by connecting a Revenue Management System (RMS) through the BEX App Store. These integrations dynamically adjust your rates based on market demand. When using an external RMS, the partner app becomes the "source of truth" for your pricing.

Always consult your RMS partner’s documentation to understand their synchronization frequency and how they handle additional pricing rules set in BEX PMS.
