Salto Pro Access: Installation & settings

Salto Pro Access offers a sustainable solution for secure access with physical access cards or digital versions via an app.

How to install the app?

In BEX PMS, go to the App Store (market stall icon) in the light green menu bar. Type 'Salto Pro Access' in the search bar and click on the appropriate result. You are now on the app's detail page. Click the green ‘+Install’ button to install the app.

In the next screen, you can see exactly what information is read and sent by Salto Pro Access. At the bottom of this page, you will link your Administrations. Check the ‘Access’ box for each Administration for which you want to apply Salto Pro Access. Then click ‘Install’ to complete the installation.

Before you go to the Salto Pro Access app page to complete the settings, make sure your separate Salto software has the following appropriate settings:

To connect Salto Pro Access to BEX PMS, you will also have to enter some settings in your Salto software.

In ProAccess Space:

  1. Go to General options and select PMS;

  2. Select Industry Standard;

  3. Set channel to TCP/IP;

  4. Select Industry Standard rule and click Modify;

  5. Set port number to 8090;

  6. Open ProAccess Space Configurator and restart the service.

If you use Windows Firewall, also make sure to check that port 8090 is not blocked.

Complete the settings in integration app

Before this integration will work as intended, you’ll need to configure administration settings and set up key types and products to be applied to bookings.

Configuring administration settings

In the 'Commands' bar, click 'Settings'. First, perform the administration level configuration.

  1. Select the correct administration. Then, enter your Salto URL for this administration.

The URL you need here is an external IP address followed by an externally accessible port. For example: 141.136.125.130:8090
Note that the last four digits are the port you set up in your ProAccess Space software earlier.

  1. Select the Salto software version that you use. For any software version 1.20 or higher, you can choose to include license plate information in the data set for keys.

This will enable you to automate vehicle access for your guests as well.

  1. Within the Salto software, you can create up to 62 different authorizations, for different access purposes. You can give each of these numbered authorizations a name, it is recommended to name them after the places the authorization provides access to. This will make it easier to use them to create automated access for your guests later.

  2. After doing this for all applicable administrations, save your settings.

Adding key types & products

In the 'Commands' bar, click 'Key types & products'. Key types are the name and description of the key and the access it should provide. Products specify the way these key types are then automatically applied to your confirmed bookings.

Creating key types

Click '+Key type'. Select the administration this key type should apply to, give it a name, and add the description and any other information you want to share with your guests under 'Print info'. This information will be the default text printed on a physical key card.

If any authorizations were defined during the administration configuration, you can add the ones you need.
Create as many key types for your administrations as you need.

Adding products to key types

In the overview of key types, you’ll see that the key you just created is connected to zero products. Click the number '0'. This will take you to the empty products list for this key type. Click '+Product' to start adding products. In products, you determine which bookings will receive which access. It is possible to add multiple products to a key type.

  1. General:
    A name for the product.

  2. Filters:
    These are PMS booking filters that you can optionally use to limit this product to bookings that match the filter settings. Available filters are object labels, types, and mandatory costs as well as extras.

  3. Other settings:
    Determine how and when the key is activated.
    Check 'Wait for check-in' to automatically activate the key when the booking checks in.
    Check 'Deliver keys to guest' to send the key information (pin code) to your guests via the JustIN mobile app, a specified number of days before they arrive.

    Enter a fixed start and end time if you want the validity of the keys to deviate from the default check-in and check-out times used by the administration.

Editing key types and products

All key types and products can be edited if needed. Simply navigate to the key type and/or product and click the 'Edit' button. The data that can be edited is the same data that can be entered during setup.

Add encoder / printer for physical key cards

Encoders are desk terminals (supplied by Salto) that can read and print the physical key cards.
In the 'Commands' bar of the integration app, click 'Encoders'. When adding an encoder, you enter the administration where it is used, a name (usually relating to where it is located), and external identifier. Ask your installer for this external identifier, because it is specific to the machine.

The integration is now ready for use.

Managing Salto access keys

Creating key cards at check-in, or creating a copy

An automatically generated access key is not yet a physical key card. To create key cards, the generated access key information is encoded onto a key card using the encoder machine.

  1. Open the reservation that you want to create key cards for.

  2. Click the 'Apps' dropdown in the reservation block, and select 'Salto Pro Access: Keys'.

  3. Under 'Print', select how many key cards you want to create, which encoder you are using, and whether they are new cards (check-in) or a copy (additional card needed).

  4. Click 'Print'. The encoder machine will signal that the (empty) key cards can be placed onto it, and when the encoding is done.

The 'Send to phone' section can be used if your guest has installed Salto’s JustIN Mobile app on their smartphone.

Creating owner key card access without a booking

For owners, it may be useful to create access cards that are not related to a booking.

  1. Go to the owner page of the owner for whom you want to create a key card.

  2. Click the 'Apps' dropdown at the top, and select 'Salto Pro Access: Keys'.

  3. Click '+Key', and specify the key type and its validity. The default 'valid from' date is the creation date.

  4. Under 'Rooms', add the room/door number of the object that the owner should have access to.

  5. Add print info if desired, and doublecheck the owner’s personal details. Click 'Create key'.

  6. Under 'Print', select how many key cards you want to create, which encoder you are using, and whether they are new cards (check-in) or a copy (additional card needed).

  7. Click 'Print'. The encoder machine will signal that the (empty) key cards can be placed onto it, and when the encoding is done.

For door/room number, the numbers you use in your Salto software might not match the object numbers/name you use in BEX PMS. If they do not match, add the correct door/room number as used in Salto to your BEX objects.
Edit the object, and enter the Salto number in the 'Door or room name' field.

Re-using key cards

Key cards that are returned after use, upon check-out, can be re-used for new key cards without issue. When 'printing' a key card for a new reservation, the old data is overwritten. Old cards that are not overwritten will still contain the old key card information, and can be read by an encoder, even though it is no longer valid for use.

How to read a key card: Click the 'Apps' dropdown in the green navigation bar visible on any page within BEX PMS. Select 'Salto Pro Access: Read key'. Choose the encoder you want to use to read the card, place the card onto the encoder, and click 'Start'.
The available information will be shown.

Deleting key data

If you want to instantly invalidate a key card and any copies of it, you can delete the associated key card data from BEX PMS. The information on the physical key cards will no longer be recognized, making them unusable.

  1. Access the key data of a reservation or an owner, in the same way as when you want to create key cards for them.

  2. Instead of printing, however, you click the 'Delete' button in the top right.

Deleted key data cannot be restored. If renewed access is needed, you need to manually create new key data and encode a new key card.

Access via JustIN Mobile

If desired, your guests can use Salto’s JustIN mobile app to lock/unlock electronic doors instead of using a key card.

  1. The guest/owner needs to install the JustIN mobile app on their smartphone.

  2. You need to add the guest’s/owner’s phone number to the key data when automatically sending the code before check-in, or enter it under 'Send to phone' when creating key cards.

  3. The registration will appear in the guest’s app. An error message after sending usually means that the guest has not registered in their app properly.
