How to install the app?

Once logged into your Booking Experts PMS, go to the App Store in the light green menu bar. To do this, click on the market stall icon. Type 'ICY' in the search bar and click on the appropriate result. You are now on the app's detail page. Click the green ‘+Install’ button to install the app.

In the next screen, you can see exactly what information is read and sent by ICY. At the bottom of this page, you will link your administrations. Check the 'Access' box for each administration for which you want to apply ICY. Then click 'Install' to authorize the app and complete the installation.

Complete the settings

To set up this app, you must first connect your ICY software, and then map out your accommodations and add products to automate energy supply for reservations.

Connect account

Select the 'Settings' button in the Commands bar.

1. The username, password, organization and industry that you need to enter are all from your ICY software, so if you are not sure what to enter here, ask ICY for help.

2. You can enter a few amperage settings to apply to the administration you are connecting. This is optional; if you leave these settings empty or unchanged, the default ICY values will be used.

Linking accommodations

Select the 'Linked accommodations' button in the Commands bar.
Here you’ll see a list of every object in your administration. Using the dropdown next to it, you can link it to the corresponding accommodation as set up in your ICY software.

Adding products

Select the 'Products' button in the Commands bar.
Setting up products will allow you to customize the energy supply and/or heating for your guests, based on reservation characteristics. Click '+Product' to add a new product.

1. Give it a recognizable name, based on the purpose of the product.

2. Set fixed activation and deactivation times if you want to deviate from your standard check-in and check-out times. If you set it to wait for check-in, the product is only activated upon check-in, regardless of the set activation time.

3. The 'warm welcome' option will ensure the accommodation is comfortably heated upon check-in. Set a custom amperage to deviate from the default.

4. Use the type and extra filters to determine where this product can be applied. You might want to apply the 'warm welcome' to all bungalows, or provide a higher amperage to campsite guests that explicitly booked more power for their appliances.

Synchronizing reservations

After adding the products, click the 'Synchronize' button in the Commands bar to synchronize all current and future reservations to ICY. You can use this button anytime to ensure the integration is up-to-date after making changes, such as after importing reservations.

Operational use

In day to day application of this integration, you can make amperage changes for a reservation if needed, or use the meter readings module to charge power consumption through ICY.

Changing ICY settings for a reservation

Open the relevant reservation. Via the 'Apps' dropdown in the reservation you can access 'ICY: view in ICY'. On this page you’ll see the start and end time, warm welcome setting and amperage for this reservation according to the applied ICY product. You can manually change any of these settings, and apply them by clicking 'Save booking'.

Charge for power consumption with ICY

If you have activated the meter readings module and set it up to charge for power consumption, you can use the ICY integration to easily enter the correct meter readings upon both check-in and check-out of a reservation.

When checking a reservation in or out, you get the option to automatically fill the meter reading values based on ICY’s data. This means you charge your guests accurately each time.
