Managing reservations from the Planboard

The Planboard is the main tool for receptionists. From here, current and future reservations can easily be managed.

Accessing the Planboard

When logged in to BEX PMS, open the planboard by clicking the 'Planboard' button in the uppermost navigation bar. Switch back to BEX PMS in the same way.

  • You can always open the Planboard and PMS in separate tabs of your browser to make switching even easier.

  • In PMS, every reservation page has a 'Planboard' button that will show you that reservation in the Planboard view.

Switching to another administration

If your user account has access to multiple administrations, you can switch between them in the Planboard view. Use the white dropdown in the top left to select another administration.

  • When doing so, any active planboard filters will also be active in your view of the other administration.

Find and access reservations

There are several strategies that you can use to find a reservation in the Planboard.

  1. Use the search bar at the top right of the Planboard to search by (partial) name, (partial) booking number, or company name. Click the correct search result.

  2. Clicking the search bar without entering a query, will show the three most recent reservations made. These might already be what you are looking for.

  3. Use the planboard filters to narrow down your view and find the right reservation.

Click the desired reservation to open a summary on the right of your Planboard.
This is your starting point to manage an individual reservation.

Checking reservations in and out

In the reservation summary in the planboard, under 'Actions', you can check this reservation in or out.

  • The check-in and check-out date and time are editable.

  • It’s not possible to check out a reservation if it was never checked in.

  • Once a reservation has checked out, these actions cannot be used anymore.

  • The third action available is to move the reservation to another object.

Making a new reservation via the Planboard

Select an available date range directly at the correct object by clicking and dragging, or first create a shortlist of objects using the filters at the top of your planboard.
