Making a new reservation

There are many ways to enter a new reservation, or support your guests while booking a stay. Use the '+Booking' button, create a reservation directly from the Planboard, or copy an older reservation to retain most of its details.

Via the '+Booking' button

The '+Booking' button is visible anywhere in the PMS, in the green bar at the top. This means you can always quickly create a new reservation, for example during a phone call with a guest. After clicking this button, you choose to create either a group booking or a single reservation.

Creating a group booking

A quick way to check availability for a large number of guests, and create a group booking for them.

It is not possible to merge two existing single reservations into a group booking. Instead, add a new reservation to an existing one, or create all reservations of the group booking at the same time. You can also allow your guests to create a group booking online: Allowing group bookings to be made on your website

Creating a single reservation

  1. When using the '+Booking' button to create a single reservation, you enter a page where you need to find and select a suitable available object. Use the filters to find an object that suits your guest. Each option will show a price indication as well.

  • If your guest already knows the exact dates they want to stay, select those dates in the 'Period' filter, and choose 'Whole period' in the 'Length of stay' filter.

  • If your guest wants to choose the final dates based on availability or price, and has a more general demand like "a long weekend in either August or September", you can set the 'Period' filter for 1 August to 30 September, while choosing 'Long weekend' in the 'Length of stay' filter.

  • The available dates and objects are shown in the search results, along with their prices.

  1. Click the 'View' button behind one of the search results to open the overview. This will show you a cost specification, based on the selected object, dates, and guest group. Changing these details will update availability and price indications.

    The 'Channel' filter can be used to create insight into any price differences depending on channel. This way, you can compare the price of a direct booking (back office) to the price that would be charged if the guest places the same reservation through a particular external channel.

  2. When the guest wants to proceed with the booking, click 'Continue' to enter the reservation form.

Entering contact details

  1. If the booker has made a reservation before, their contact details can be quickly found by searching in one of the fields with a magnifying glass. Based on this, you will get suggestions that you can click to quickly fill in the available contact details.

  2. Add or change details as necessary, including any deviating invoice details.

  3. Also check the communication preference consent boxes as permitted. The first one is for newsletter subscription (managed in CMS), and the second one allows data to be shared with Google, for personalized online ads.

  4. In the overview on the right side, changing objects or adjusting the guest group and/or dates is still possible. The totals of prices and cost items will change accordingly.

Other

  1. The settings under the 'other' header allow you to apply a coupon code for your guest, specify a traffic source (how the guest became aware of your accommodations), or add a guest remark that will be added to the reservation as a memo.

Confirming the reservation

  1. If everything has been entered correctly, click 'Confirm' at the bottom of the overview. You will then enter the detail page of the reservation made.

  2. Once again check all details, and make final changes if needed.

  3. Click the 'Confirm and send invoice' button to send the confirmation message and invoice for this reservation to the guest.

Via the Planboard

It is possible to filter for available objects to place a new reservation directly in the Planboard. This method also uses the contact details form as described above.

By copying an older reservation

Copying a previous reservation of the same guest is a quick way to create a reservation that already has the correct guest’s information in it.

Via the object page

If there is a strong preference for a specific object, you can create a reservation via the object itself.

  1. Open the correct object, and to the bottom left you’ll see the availability calendar where existing reservations and blocks are shown. This will quickly show you when this object is still available.

  2. At the top, click the blue '+New reservation' button. You'll enter the reservation form. Enter the correct arrival and departure dates, and add the booker details by either adding an existing contact (guest has stayed before), or entering all details separately.

Via the website

In the Booking portal on your Dashboard, you can see which reservations are currently being made through the website. If a guest gets stuck, and contacts you in another way, you can assist by taking over their reservation process.

On behalf of owner

It is possible to make a reservation on behalf of an owner, for their own object. To do this, you need to access the owner page in your PMS.
