DormaKABA: installation & settings
DormaKABA is an access control integration that automatically generates and manages access codes for guest check-ins and stays.

How to install the app?
Go to the 'Available apps' index, and use the search bar to find the Dormakaba app. Click the 'Install app' button.

Complete the settings
What you'll do:
Open the Dormakaba app page from your 'Installed apps' overview.
Select 'Settings' from the Commands dropdown.
For each administration in your organization, enter the following information:
Location Name - The name of your Dormakaba system site
User - Your Dormakaba administrator username
Password - Your Dormakaba administrator password
Click the "Save" button to store your configuration.
Important Information:
You must have valid Dormakaba system credentials to connect the integration
Separate configurations are required for each administration in your organization
These credentials are securely encrypted and stored
What happens after: Once saved successfully, the Dormakaba integration will be connected and ready to generate access codes for incoming reservations. A confirmation message will appear indicating that your settings have been updated.

View and manage access codes
What you'll do:
When viewing a confirmed reservation in your PMS: click the Apps dropdown in the reservation, and select "Dormakaba: View access code".
The access code page shows:
Guest check-in start date
Guest check-out end date
Door/facility name
Generated access code
Date sent (when the code was sent to the guest)
Any error messages if code generation failed
If a guest extends their stay, you can update the access code to reflect the new checkout date by using the 'Renew' button.
You can manually resend the access code if needed, by using the 'Send this code again' button.
Important Information:
Access codes are automatically generated when reservations are confirmed
Codes are sent to guests via your configured application message templates
If an error occurs during code generation, the error details will be displayed for troubleshooting
What happens after: The system logs track all access code generations and deliveries for audit purposes.
Editing the application message template
Go to 'Templates' in the administration settings.
In the tab 'Application message templates', open the template called 'Access code created'.
Review the default content of the template, click the flags to show different languages.
Click the 'Edit' button to edit the content of the template to suit your needs.
The tag {{ access_code }} has to be used to show the code. Do not delete it.
Adding Dormakaba door number to object
Open the relevant object.
Edit the object details.
Enter the correct number in the field 'Door or room name'.
When guests receive their access code
Guests receive the door code associated with their reservation one day before arrival, provided any payments due have been received in full.
Some Booking.com reservations may not yet have been paid in full if virtual creditcards are used. For reservations like this, if there are no additional costs to be paid that are not covered by the VCC, the access code will still be sent.
